Manage a high-level day to day calendar/meetings/events of the assigned line manager
Understand the overall structure of the organization
Understand and implement the Do’s & Don’ts
Screening of telephone calls and scrutinize and inspect all documents for signature
Prepare correspondence/memos/announcements using the approved formats and templates
Organize meetings and prepare minutes
Proactive set up of filing systems for business line where required
Gather report from the respective managers to be incorporated to report as and when required
Organize travel arrangements and ensure to follow the travel / R3 policy in coordination with the travel coordinator
Proactively form professional relationships with Worley clients and keep accurate client contact database as / when required
Support / Close coordination with Inside/Outside sales Team) as / when required
Submit expenses reports and sort out monthly credit card statement
Coordinate with MEA Legal Team/Andrea Spring for the quarterly update of the Worley entities in the region
Support MEA Legal Team in uploading RFS in the system as / when required
Support MEA Legal Team in updating the TY360 as / when required
Maintain confidential records and filing of reports, correspondence, statistics and related material for ease of retrieval
Industry Specific Experience:
- Pro Active, friendly and presentable manner.
- Excellent written and spoken English skills.
- Intermediate to Advanced Microsoft office skills – Word, Excel and PowerPoint (should be assessed).
- High typing speed and accuracy as well as attention to detail.
- Ability to prioritize and work under pressure.
- Generally 10-15 years’ business experience, with maturity of judgment and discretion.
- At least 5-8 years’ general secretarial experience.
- Previous experience with Engineering background advantageous.
Education – Qualifications, Accreditation, Training:
Graduation
IT Skills:
- Experienced in Microsoft Office suite of products
- Intermediate to advanced word and excel skills
