Assistant Manager, Document Quality Control

JOB DESCRIPTION

The Document Controller plays a crucial role in ensuring the accuracy, accessibility, traceability, and compliance of all documents within the organization relevant to the department. This role involves managing the document lifecycle, maintaining version control, and implementing best practices for document management to support regulatory compliance and the overall quality of patient care.

RESPONSIBILITIES

  • Organize, categorize, and maintain a centralized repository of NMC Healthcare Group documents, including policies, procedures, guidelines, protocols,  minutes of meetings, agenda, committee TORs and other quality-related documents.
  • Ensure documents are accurately named, categorized, and tagged for easy retrieval and searchability.
  • Implement and enforce document retention and archiving policies.
  • Manage document versions and ensure that the most up-to-date versions are accessible to relevant stakeholders.
  • Implement a version control system to track changes, revisions, and updates to documents.
  • Collaborate with document owners and authors to ensure timely updates and reviews.
  • Facilitate the document review and approval process, ensuring that documents are reviewed by appropriate subject matter experts and stakeholders.
  • Track and document review feedback and ensure timely incorporation of changes.
  • Seek assistance from relevant members of the clinical quality team to monitor healthcare regulations, standards, and guidelines to ensure that documents remain in compliance with industry requirements.
  • Collaborate with regulatory affairs/ clinical risk members to ensure documents meet regulatory standards.
  • Assist and train staff in locating and understanding relevant documents to support their responsibilities.
  • Conduct periodic audits of document repositories to ensure accuracy, completeness, and compliance.
  • Implement security measures to protect sensitive and confidential healthcare information within documents.
  • In addition, perform tasks as assigned by the direct line supervisor and department managers

QUALIFICATIONS

  • Bachelor’s degree in healthcare administration, life sciences, or related field.
  • Strong understanding of healthcare terminology, document control standards, and quality standards.
  • Prior experience in document management, preferably in a healthcare or regulated industry.
  • Familiarity with document control software and versioning systems.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills for collaboration with various stakeholders.
  • Ability to work independently and manage multiple tasks concurrently.
  • Knowledge of information security and data privacy best practices.

Preferred Skills:

  • Proven work experience as a Document Controller or similar role
  • Familiarity with project management
  • Hands-on experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Proficient typing and editing skills
  • Data organization skills and attention to detail
  • Collaboration and communication skills
