Office Admin

Zahr Freighters is seeking a dedicated and organized Office Admin to join our team in Dubai. In this role, you will provide essential administrative support to ensure the smooth functioning of our office operations, playing a key part in maintaining an efficient and productive workplace.

Key Responsibilities:

  • Administrative Support: Perform general office tasks including answering phones, responding to emails, and handling correspondence.
  • Scheduling: Manage and coordinate meetings, appointments, and travel arrangements for staff and executives.
  • Document Management: Maintain and organize office files, records, and important documents, ensuring easy retrieval and proper documentation.
  • Office Supplies Management: Monitor and replenish office supplies as needed to keep the office fully stocked and operational.
  • Data Entry: Enter and update data in internal systems accurately and in a timely manner.
  • Team Coordination: Assist in coordinating office activities and internal communications to ensure alignment and smooth workflow.
  • Filing and Documentation: Maintain filing systems, both physical and digital, ensuring that all documents are properly organized and up-to-date.
  • Budget and Expense Tracking: Assist in managing office budgets, tracking expenses, and preparing financial reports.
  • Confidential Information Handling: Handle sensitive and confidential information with the utmost discretion.

Qualifications:

  • High school diploma or equivalent; a college degree is a plus.
  • Proven administrative experience in a professional setting.
  • Excellent written and verbal communication skills.
  • Strong time-management and organizational skills with the ability to multitask.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to quickly learn new software and systems.
  • Prior experience managing office budgets and expenses is an advantage.
  • Ability to handle confidential information professionally.
